Listing paperwork will be created in the same loop created during the CMA stage. There are required documents for compliance with all transactions. These required documents preload in the loop.
The first step is to fill in the details on the loop. Make sure the names & roles are accurate, the original price, legal description, parcel key are all updated and save.
After updating the details, click on a listing document and it will allow you to autofill using the details you input. The modification will require a Live By date. Please speak with the photographer to confirm an appointment to base the live date off of.
Read through all docs and verify all is correct prior to sharing. When all is verified, save and share the document. It will share with whichever email is associated with the seller(s).
Once the seller(s) has signed, the agent will need to fully execute the document. The documents then get downloaded into a pdf and attached in an email (see email templates) to the customers within 24 hours of signing.

While filling out listing paperwork, there should have been a conversation about scheduling photos with the photographer. This prompts the photographer to plug it in on the calendar. Please notify the photographer if anything changes.
Photos are typically scheduled on Mondays & Fridays while live dates typically fall on Wednesdays & Thursdays. It takes a day or so to edit the photos dependent upon the week’s schedule.
If drone shots are required, please let the photographer know as these are not in-house and need to be scheduled in advance.
At the appointment the photographer will take photos, matterport, and a video if applicable. Measurements of the rooms as well as property details are taken during the appointment.
If the customer has an extra key, a lockbox will be put on the property that day. A sign will be placed on the property 24 hours prior to going live.

Using the measurements and information gathered from the photo appointment, the listing coordinator inputs the listing in the MLS and the website is updated with a hidden page not-visible to the public until 24 hours prior to going live.
Once the listing is prepared, the listing coordinator will let the agent know to look over and approve the listing. This happens the day before going live to give plenty of time for any changes and the coming soon post on social media.

For each property we list there is a process with social media. There will be a behind-the-scenes post, a coming soon post, a walkthrough post, a live post, and eventually an under contract and closing post!

After a lockbox goes on a property, it is important to assign that lockbox to the MLS so that it can track who has used the lockbox.

After a listing goes live, pop over to Showing Time to set up a listing. This is where you can input showing instructions. We also add the pdf of the active listing and any other pertinent documents to Showing Time.
This also the opportunity to add any other agents or customers to the Showing Time instructions so that they can confirm appointments.

Once the listing is live, using the active listing email template, the links are updated and the email is sent to the customers as well as the rest of the team.

The opportunity gets moved to the Make Listing Active phase in Command and updated to Active in DotLooop.
